1. Membership Data Protection Policy
Barrow Runners will collect and retain your personal data (Name, Date of Birth, Address, Email address, phone number, emergency contact name/phone number, any relevant medical condition, EA number). All memberships are taken online only.
This information will not be shared with any outside organisation except for:
a) England Athletics
When you become a member of or renew your membership with Barrow Runners you will automatically be registered as a member of England Athletics. We will provide EA with your personal data which they will use to enable access to an online portal for you (called MyAthletics). EA will contact you to invite you to sign into and update your MyAthletics portal (which, amongst other things, allows you to set and amend your privacy settings). b) Leicestershire Road Running League
As a member of the Leicestershire Road Running league we provide basic membership information (Name, Date of Birth) to allow for accurate results production / league tables.
c) Derby Runner XC League
As a member of the Derby Runner XC league we provide basic membership information (Name, Date of Birth) to allow for accurate results production / league tables.
Your data will not be shared with any other organisation or company outside of those outlined above.
2. Data storage
The Barrow Runners Membership system is an online database, secured with SSL certification. Access is restricted to the Webmaster, Club Secretary, Membership Secretary, Welfare Officers, and specific committee members who require access for club duties, which will be agreed by the committee.
Committee members with access agree to delete any data downloaded and ensure their computers are password protected. Any data infringement, such as loss of a laptop, will be reported to the club committee as soon as possible, within 24 hours as a minimum.
A limited version of your data will be shared with the club's captains, coaches and run leaders to plan training/racing and have access to your next of kin data during any team runs in case of emergency.
Data of lapsed members is held on this system for a maximum of 4 years.
3. Club communications
The Club uses a third-party mailing system [Mailchimp] to send out monthly newsletters and key emails relating to club activity. It is also used to send SMS alerts for important announcements (e.g. late cancellation of a training session). Only basic information [name, email address, mobile phone number] is transferred to this system. Access to this system is restricted to the Club Secretary, Club Captain and Comms Officer.
We have a policy to only send one main newsletter per month.
Specific emails will only be sent to the full club membership on urgent matters such as formal notice of club meetings. No advertising or promotion from sponsors or races will be sent as separate emails.
Club members may also choose to join the Barrow Runners WhatsApp Community, which provides a space for general club discussions, training updates, and race planning. This is entirely optional, and members should be aware that their phone number may be visible to other participants, as per WhatsApp's platform rules. Admins will moderate the community to ensure appropriate use.
4. Cookies
In 2011 the law governing how cookies are used on websites was changed. Websites must now ask users for consent to store cookies on their computer or device.
This website (as with almost all other websites today) uses cookies to identify you as an "user". Without the use of cookies, every page you visit on the website, you would be considered as another anonymous user. That means we would be unable to alter anything on those pages based on your preferences or feedback. Furthermore, if you sign-in to the site to access protected content or use restricted functionality, we must use a cookie to store the fact you have been authenticated and exactly which User you are. This cookie is called a "session cookie" and the only information within the cookie itself is a unique reference string that the server uses to group your page visits together. This cookie is automatically generated on your first page request so will already be on your computer or device unless you have blocked all cookies in your browser settings. If you wish to remove this cookie, you should use the options in your browser to clear your browsing history - ensuring that the option to delete cookies is selected.
If you are a User on this site, the sign-in page offers to remember your username. If you select this option when signing-in, your username will be stored in a persistent cookie on your computer or device. This is so that we can pre-populate the username field next time you come back - making it quicker and easier for you to sign-in. If you do not wish to accept this cookie, please ensure the "remember my username" checkbox is not checked.
5. Data Usage
For security reasons, we log any changes to data made by you when you are signed-in to the system. An example of this might be a history log entry if you change your password or personal details. This only applies to Users who sign-in and is designed to help us protect the data held within the system. We also store a record each and every time a User signs-in, including the IP address from which the request originated. The reason for this is two-fold; firstly it is to monitor site usage to ensure our infrastructure is sufficient to cope with the demands being put on the website. Secondly it is to help protect you and your data by providing an audit log of who has accessed your account, exactly when and from what IP address.
No personal data on this site is made available publically or passed to third-parties for any sort of marketing purposes.
Agreeing to this Policy during membership registration / renewal will act as your consent to the sharing of your data as described above.
